Privacy Notice

1. Who this notice is from

Philippine Southfield School (“PSS”, “the school”, “we”) operates this website. The school is the personal information controller for the information described below, in the sense given by the Philippine Data Privacy Act of 2012 (Republic Act No. 10173).

Our campus is at Villa Trinitas Subdivision, Bugo, Cagayan de Oro City 9000.

2. What we collect

Information you give us

The contact form is the only place on this website where you are asked for personal information. When you submit it, we receive and store:

• your name;
• your email address;
• the subject you selected; and
• the message you wrote.

Nothing on this website asks for a student’s records, grades, birth date, or identification numbers, and enrolment is not processed online. Please do not include sensitive personal information in a contact message — if you need to send documents, contact the registrar’s office directly instead.

Information collected automatically

This website does not use advertising or tracking cookies, and it does not build a profile of you. Three technical services do process limited information so the site can work and stay secure:

• Spam protection. The contact form is protected by Cloudflare Turnstile, which checks that a submission comes from a person rather than a script. Cloudflare receives your IP address for this check.
• Visitor statistics. We use Vercel Analytics to count page views so we know which pages are useful. It is cookie-free and does not identify individual visitors.
• Abuse prevention. Our server briefly holds IP addresses in memory to limit how often the same source can submit forms. These are not written to any database and are discarded shortly afterwards.

3. Why we use it

We use contact form submissions for one purpose: to read your enquiry and reply to it. We do not sell, rent, or trade personal information, and we do not use it for marketing.

4. Who can see it

Contact messages are readable only by authorised school staff signed in to the school’s content management system. The database enforces this at the record level: an ordinary website visitor cannot read submitted messages back, and only a head administrator can delete them.

We may share information where we are required to by law, or where it is necessary to protect the safety of a student or another person.

5. Where it is stored

The website is hosted on Vercel and its data is stored with Supabase, both of which operate servers outside the Philippines. Information is transmitted over an encrypted connection (HTTPS) and stored on their managed infrastructure. Using these providers means your submission may be processed outside the country.

6. How long we keep it

We keep contact messages for as long as we need them to handle your enquiry and to keep a record of our correspondence with you. Messages are removed when they are no longer needed for that purpose. You may ask us to delete yours sooner, and we will do so unless we are required to keep it.

7. Your rights

Under the Data Privacy Act of 2012 you have the right to:

• be informed about how your personal information is used;
• access the information we hold about you;
• have inaccurate information corrected;
• object to how we process your information;
• ask that your information be erased or blocked;
• obtain a copy of your information in a portable format; and
• be indemnified for damages arising from misuse of your information.

To exercise any of these, contact us using the details below. You also have the right to complain to the National Privacy Commission at privacy.gov.ph.

8. Children

This website is written for parents, guardians, and prospective students. We do not knowingly collect personal information from a child through this site. If you believe a child has sent us information through the contact form, please tell us and we will remove it.

9. Changes to this notice

If we change how this website handles personal information, we will update this page and change the “last updated” date at the top.
